Welcome to Bespoke Cleaning DFW. Please review the following terms and conditions, which constitute a legally binding agreement between you and Bespoke Cleaning DFW regarding your use of our website, communication channels, and the booking of our residential, house, apartment, or move in/out cleaning services.
By booking an estimate, requesting a cleaning, or utilizing any services provided by us, you acknowledge that you have read, understood, and agree to be bound by these Terms of Service. If you do not agree with any portion of these Terms, you must not book services or access our site.
1. Service Scope and Estimates
A. Service Customization
Bespoke Cleaning DFW provides customized cleaning services based on the specific plan chosen (Standard Clean, Deep Clean, Move In/Out Clean, or Custom Residential Clean). The checklist of standard tasks is available upon request and serves as the baseline for our operations.
B. Estimates and Condition Adjustments
All pricing quotes provided via our website form, email, or telephone are initial estimates based on the details you submit regarding your property configuration, room counts, and estimated build-up level. If our cleaning team arrives and discovers that the condition of the property differs significantly from the description provided (including excessive pet hair, trash accumulation, heavy grease, soot, mold, or structural clutter), we reserve the right to adjust the final price, extend the required service time, or cancel the booking. We will make reasonable efforts to contact you to discuss price adjustments before proceeding.
C. Right of Refusal
To protect the safety of our staff, we reserve the right to decline or terminate services immediately if the property presents a hazardous environment. This includes properties with biohazard concerns (feces, urine, blood, mold, pest infestations, severe hoarding conditions), properties lacking safe structural integrity, or locations with active legal disputes or safety threats.
2. Booking, Cancellation, and Rescheduling Policy
We coordinate scheduling carefully to ensure reliable service times for all clients and fair schedules for our professional cleaning technicians.
- Cancellation Window: To reschedule or cancel your service without a fee, you must provide written or verbal notice at least 48 hours before your scheduled arrival window.
- Late Cancellation Fees: Cancellations or rescheduling requests made between 24 and 48 hours prior to the scheduled cleaning will incur a flat cancellation fee of $50. Cancellations made less than 24 hours prior to the scheduled cleaning, or lockout occurrences on the day of service, will be charged the full amount of the booked service.
- Lockouts: If our cleaning team is unable to access your property within 20 minutes of arrival due to a lack of keys, failed gate codes, incorrect lockbox combinations, or active security alarms that cannot be deactivated, the appointment will be deemed a lockout, and you will be charged the full cost of the service.
3. Payment Terms, Billing, and Holds
Our billing process is structured to be secure, automated, and convenient:
- Card on File: We require a valid credit or debit card on file to confirm and secure all bookings.
- Pre-Authorization Hold: We may place a pre-authorization hold on your card 24 hours prior to your scheduled cleaning for the estimated service amount to verify available funds.
- Final Payment Processing: Payment is processed immediately upon completion of the cleaning service. Receipts are transmitted automatically to your registered email address.
- Late Payment Fees: Outstanding balances not settled within 5 business days will accrue a late fee of $25 per week in addition to interest at the rate of 1.5 percent per month (or the maximum rate permitted by Texas law, whichever is lower) on the unpaid balance.
- Billing Disputes: If you wish to dispute an invoice, you must contact our billing office in writing within 5 days of invoice receipt. Unjustified chargebacks will result in service termination and account referral to collections.
4. Customer Preparations and Access
A. Access Protocols
You must provide clear instructions for home access. This can include providing a garage code, key box code, leaving a key with front desk staff, or being physically present to let the team in. If you utilize keyless entry or smart locks, you must verify that access is active for the scheduled cleaning window.
B. Pre-Cleaning Preparation
To maximize our cleaning efficiency, we ask that you pick up personal items, clothing, toys, and clutter from floors and countertops prior to our arrival. While we are happy to clean around light items, our teams are instructed not to organize major piles of clutter or organize personal paperwork unless previously scheduled under custom service terms.
C. Utilities Requirement
The property must have active, functioning electrical service, running hot and cold water, and a climate-controlled environment (heating and air conditioning must be active during the summer and winter seasons). If utilities are inactive upon our arrival, our team will not perform the cleaning, and the appointment will be billed as a lockout.
5. Safety Guidelines and Limitations
The physical safety of our technicians is our highest operational priority. The following tasks are strictly prohibited:
- Heavy Lifting: Our team members are not permitted to move furniture, appliances, or objects weighing more than 35 pounds. If you request cleaning behind heavy appliances or furniture, you must move them yourself prior to our arrival.
- High Reach Limits: For safety reasons, our cleaning staff are limited to using step-stools with no more than two steps. We cannot wash exterior window glass that is out of reach or clean fixtures higher than 9 feet.
- Biohazards: Our staff are not equipped, certified, or insured to handle biohazardous waste. This includes animal or human waste, bodily fluids, needles, mold remediation, or properties with active pest infestations.
6. Satisfaction Guarantee and Quality Concerns
We stand behind our premium standards. If you are not satisfied with any aspect of our cleaning work, we will address it promptly according to these guidelines:
- 24-Hour Notice: You must contact our administrative office within 24 hours of service completion to report any issues with the quality of the clean. Reports must include clear descriptions and photographic evidence of the concerns.
- Complimentary Reclean: If we verify that an item on our service checklist was missed or performed unsatisfactorily, we will send a technician back to your property to reclean the designated areas at no additional cost to you. The reclean must be scheduled within 72 hours of the original cleaning.
- No Refunds: Because cleaning is a personalized labor service, we do not offer monetary refunds, charge reversals, or billing discounts in lieu of a complimentary reclean.
7. Damage Policy and Limitation of Liability
Bespoke Cleaning DFW is fully insured and bonded. However, we place strict limitations on our liability for certain categories of property:
- Pre-Existing Damage: We are not liable for pre-existing damage, including water damage, scratched glass, worn grout, sun-damaged materials, unstable fixtures, loose trim, or items showing signs of natural wear and tear.
- Valuables and Fragile Items: Before our team arrives, you must remove, store, and secure high-value personal property, including cash, jewelry, heirlooms, fine art, collectibles, and fragile ornaments. We are not liable for damage to loose items left unsecured on countertops or tabletops.
- Filing a Damage Claim: If you believe a member of our cleaning team has damaged property, you must notify us in writing within 48 hours of service completion. The claim must include photos of the damage. We reserve the right to inspect the item, request repair estimates, or choose to repair/replace the damaged item at our option.
- Liability Limit: In all cases, our maximum aggregate liability for any claims, damage, or losses arising from our cleaning services is strictly capped at the total amount paid by you for the specific cleaning appointment in question.
8. Non-Solicitation of Cleaning Staff
Our business invests significant resources in recruiting, vetting, background checking, training, and retaining our high-quality cleaning technicians.
By booking our services, you agree that you will not solicit, employ, hire, or contract directly with any employee or independent contractor of Bespoke Cleaning DFW for private cleaning services. This restriction remains in effect during the service period and for 24 months following the termination of your service agreement with us.
If you breach this non-solicitation agreement, you agree to pay Bespoke Cleaning DFW a liquidated damages referral fee of $5,000 to compensate for recruiting and training costs.
9. Dispute Resolution and Governing Law
These Terms of Service are governed by and construed in accordance with the laws of the State of Texas, without giving effect to any principles of conflict of laws.
Any dispute, claim, or controversy arising out of or relating to these Terms or our services will be resolved exclusively in the state or federal courts located in Dallas County, Texas. You waive any objections to jurisdiction or venue in such courts.
10. Severability and Complete Agreement
If any provision of these Terms is determined by a court of competent jurisdiction to be invalid, illegal, or unenforceable, the remaining provisions of these Terms will continue in full force and effect. These Terms constitute the entire agreement between you and Bespoke Cleaning DFW regarding the services and replace all prior agreements or understandings, written or verbal.
